Re: HOTA Terms and Conditions and information for booking courses.

Course bookings

Companies and learners booking and attending courses at HOTA are subject to the companies Terms and Conditions as stated below.

Individual Learners:  To secure your booking a non refundable deposit of £50 per course is required to be received at the time of booking with the outstanding balance required one week prior to course start date.

Companies with Credit: Company bookings made by telephone must be confirmed in writing, confirmation is accepted by post, fax or email. Confirmation of the learners full name, date of birth (where possible), company booking and invoice address (es) and any requirement for invoicing (including order numbers etc.) are requested at this time.

Companies without Credit: Company bookings made by telephone must be confirmed in writing, confirmation is accepted by post, fax or email. Confirmation of the learners full name, date of birth (where possible), company booking and invoice address (es) and any requirement for invoicing (including order numbers etc.) are requested at this time.  A proforma invoice will be sent upon course booking and must be settled in full prior to course start date.

HOTA reserves the right to withdraw any booking which has not been confirmed by the date requested. HOTA reserves the right to change or cancel reservations for courses which are undersubscribed or in the event of any unavoidable event/ circumstance.

Course registration

Course registration location and start times are clearly stated on all joining instructions therefore late arrivals may be turned away subject to management discretion with the full fee charged. Failure of delegates reporting promptly each day may result in vital elements of the course being missed and will prevent certificates being issued. In these circumstances HOTA will endeavour to inform the named booking contact immediately.

For courses with stated pre-requisites HOTA request, where possible, the relevant information is provided to the bookings department prior to the course start date. Copies of certificates are accepted by post, fax or email, please state on all correspondence the learner’s full name, date of birth, course date and course title.

An invoice will be issued after course completion and is payable within the credit terms of 30 days.

Please note any personal details supplied will be used solely for the purpose of administration associated with the course and will not be passed on to any third party other than where required by the named Awarding Body.

Data Protection Act 2018

Personal details supplied to HOTA will be used for the purpose of administration associated with the course(s) and future renewals.  For externally accredited courses relevant information supplied to HOTA will be shared with 3rd party data controllers for the purpose of entry onto a computerised register or certification systems eg Vantage, Winda.  At all times use of data will be strictly in accordance with the principles laid down in the Data Protection Act 2018.

Health & Safety 

Companies should note that their employees must be covered by their Employer’s and Public Liability policies for the duration of the HOTA Training Course and whilst on HOTA premises. HOTA does not accept any liability for loss or damage to any property of any course participant or any liability for personal injury or death that may occur during the course.

All learners are reminded that training courses are considered “at work” in as far as legislation is concerned and that they are still subject to the general conditions of employment applied by their companies.  They should conduct themselves during practical work with respect for the health and safety of themselves and others.  Safety instruction from staff, tutors, consultants and demonstrators must be rigorously observed. 

HOTA operates a strict no alcohol and/or drugs policy, learners who appear to be under the influence of either alcohol and/ or drugs will be asked to leave the premises for the health and safety of themselves and others.

If learners are injured, involved in a near miss or witness unsafe equipment or behaviour whilst on a course at HOTA or on HOTA’s premises please report the details as soon as possible to a member of staff who will ensure that the appropriate action is taken.

HOTA reserves the right to refuse tuition or continued tuition to any participants on the grounds that they believe he/she is physically unfit or if his/her participation or continued participation would endanger the safety of others or the safety of course equipment. 

As part of the training involves communication in hazardous situations, it is essential that all participants can read, speak and understand English fluently.

Course cancellation fees apply as follows:

Cancellation 15 - 30 days prior to the course start date

Individuals - loss of deposit

Cancellation 8 to 14 days prior to the course start date

50% of the course fee will be retained

Where courses require examination registration these fees will be retained (where applicable) for courses cancelled 14 days (or less) prior to the course start date*

Cancellation 7 days or less prior to the course start date

100% of the course fee will be retained

The transfer of a booking 14 days prior to the course start date will incur a charge**

Learners who fail to complete training courses, an additional fee will be charged when they return to complete their training

 *This applies to any course requiring a specific examination registration including NEBOSH, City & Guilds and Compex Courses.

** Transfer charges are applied on a case by case.  Transfer fees may be £ 25 admin fee, 50% or 100% of the full course fee.  Management reserve the right to limit the number of course transfers per booking.
